Requests for access to written information or documents on the internal operation of the library which requires more than 30 minutes time from the appropriate department records manager or staff member for locating, inspecting, researching, duplicating, and/or supervising use of records will require a written request from the person, or representing agent for the organization, requesting access to the records. Contact information from the person making the request, including address and phone number, will be required. The exception is a patron inquiring about their account.
Fees for processing the request will be estimated and a response with the estimate will be forwarded within three business days to the person making the request. Costs may include charges forphotocopying, retrieval, telecommunications, certified copies, postage, delivery, packaging and staff administrative costs for researching, retrieving, monitoring, and reproducingin conjunction with filling a document request. Approval to pay the estimated fee costs must be made by the person making the records request in order for the request to be processed.
Pre-payment for the request may be required for estimates exceeding $25.00.
The total photocopying costs shall not exceed $.25 per page. Administrative costs represent the salary of the lowest paid full-time employee who possesses the necessary skill and training to perform the request. Other costs that are required to produce the requested information will be charged at the rate of costs incurred by the library system to produce the requested information.
All procedures for providing access to library system records shall be in compliance with the Georgia Open Records Act.
